ST. GEORGE FOOD TRUCK FEST

Vendor Terms & Conditions

By submitting payment and participating in the St. George Food Truck Fest, all vendors agree to the following Terms & Conditions.


1. EVENT DETAILS

Event Name: St. George Food Truck Fest
Location: State Fairgrounds Airline Hwy: 16072 Airline Hwy, Baton Rouge, LA 70817
Date: November 21st, 2026
Event Hours: 11:00 AM – 6:00 PM

Vendors must remain operational for the full duration of the event unless otherwise approved by event management.


2. APPLICATION & ACCEPTANCE

  • Submission of an application does not guarantee acceptance.
  • Event organizers reserve the right to approve or deny any vendor application at their discretion.
  • Vendor categories may be limited to maintain variety and reduce menu duplication.
  • Approved vendors will receive confirmation after payment and documentation are received.
  • Once a vendor profile/application has been approved for the event, payment must be submitted within 72 hours to secure the vendor’s space.
  • Vendors who fail to submit payment within 72 hours risk forfeiting their spot to another vendor on the waitlist or pending approval list.
  • Event organizers reserve the right to reopen unpaid spaces at their discretion.

3. PAYMENT POLICY

  • Vendor fees must be paid in full to secure a spot.
  • Spaces are assigned only after payment is received.
  • Unpaid applications may be removed without notice.
  • Vendor fees are non-transferable unless approved by event management.

4. REFUND & CANCELLATION POLICY

  • All vendor fees are non-refundable.
  • Due to the time, marketing, advertising, and promotional efforts invested into each approved vendor, refunds will not be issued for cancellations, no-shows, weather conditions, low sales, scheduling conflicts, personal emergencies, or any other circumstances.
  • Once a vendor has been approved for an event, their business may immediately begin receiving promotion through the event website, social media platforms, advertising materials, and other marketing channels associated with the event.
  • By reserving a vendor space, vendors acknowledge and agree that their fee covers both participation and promotional exposure related to the event.
  • Vendor spots are non-transferable unless approved in writing by event management.
  • The event is rain or shine unless otherwise determined by organizers.
  • In the event the festival must be canceled due to circumstances beyond the organizers’ control, including but not limited to severe weather, natural disaster, government restrictions, venue issues, or emergencies, refunds will not be guaranteed. Event organizers may choose, at their discretion, to offer a credit toward a future event.

5. SETUP & BREAKDOWN

  • Vendors must arrive during assigned setup times.
  • Late arrivals may result in forfeiture of vendor space without refund.
  • Vendors may not begin breakdown before the event officially ends unless approved by management.
  • Early teardown may result in removal from future events.

6. TENT POLICY

  • All tent vendors are required to use a professional and standard vendor tent/canopy setup.
  • Tent vendors are required to properly secure their tents using tent weights, stakes, or a combination of both.
  • Tent security measures are mandatory regardless of weather conditions or wind forecasts.
  • Any vendor arriving without proper tent securing methods may be denied setup and may risk forfeiting their vendor space without refund due to safety concerns.
  • Vendors are fully responsible for securing their tents, displays, and equipment at all times during the event.
  • Event organizers reserve the right to require additional safety measures or request tent removal if a setup is deemed unsafe.

7. SPACE ASSIGNMENTS

  • Vendor placement is determined solely by event organizers.
  • Specific space requests are not guaranteed.
  • All assigned vendor spaces/spots are final.
  • Organizers reserve the right to relocate vendors if necessary for safety, logistics, or event flow.

8. LICENSES, PERMITS & INSURANCE

All vendors are responsible for complying with all local, parish, and state regulations.

Food vendors must provide:

  • Valid food permits/licenses
  • Health department documentation (if required)
  • Fire extinguisher(s)
  • Proof of insurance (if required)
  • All required permits, licenses, insurance documents, and health department documentation must be available and present at the vendor’s setup/site at all times during the event.
  • Vendors may be asked by event staff, inspectors, fire officials, or health department representatives to provide documentation at any time during the event.

Failure to provide required documentation may result in removal from the event without refund.


9. ELECTRICAL & POWER

  • Vendors may have access to electrical power at the event location; however, availability and accommodations are still to be determined.
  • Additional information regarding power access, electrical requirements, and vendor responsibilities will be communicated prior to the event.
  • Vendors are encouraged to prepare accordingly and bring any necessary extension cords, adapters, or backup power solutions if needed.

10. CLEANLINESS & WASTE

  • Vendors are responsible for keeping their area clean throughout the event.
  • All trash, grease, oil, boxes, and debris must be removed at the end of the event.
  • Grease disposal on-site is strictly prohibited.
  • Vendors leaving excessive trash or damage may be charged a cleanup fee and/or banned from future events.

11. CONDUCT

Vendors are expected to act professionally toward:

  • customers
  • staff
  • volunteers
  • fellow vendors

The following may result in immediate removal without refund:

  • aggressive behavior
  • harassment
  • intoxication
  • illegal activity
  • excessive noise or disruption
  • failure to follow event staff instructions

12. SALES & RESPONSIBILITY

  • Vendors are solely responsible for all sales, transactions, taxes, staffing, and inventory.
  • Event organizers do not guarantee attendance, traffic, or vendor profits.
  • Vendors participate at their own risk.
  • Multiple vendors may sell similar or overlapping products. Exclusivity is not guaranteed unless agreed upon in writing by event management.

13. LIABILITY WAIVER

By participating, vendors agree that the St. George Food Truck Fest, event organizers, property owners, sponsors, volunteers, and affiliates shall not be held liable for:

  • injury
  • theft
  • loss
  • property damage
  • accidents
  • weather-related issues
  • equipment failure
  • food spoilage
  • lost profits

Vendors assume all risks associated with participation.


14. PHOTOGRAPHY & MARKETING RELEASE

By participating in the event, vendors grant permission for photographs/videos of their setup, staff, products, and branding to be used for:

  • social media
  • advertising
  • promotional materials
  • future event marketing

without compensation.


15. FIRE & SAFETY REQUIREMENTS

Food vendors using:

  • fryers
  • grills
  • propane
  • open flames
  • cooking oil

must comply with all fire safety regulations.

Required safety equipment may include:

  • ABC fire extinguisher
  • K-class extinguisher
  • propane securing methods

Failure to comply may result in removal from the event.


16. WEATHER POLICY

  • The event is rain or shine unless otherwise determined by event management.
  • Vendors are responsible for securing tents, equipment, signage, and personal property against wind and weather conditions.
  • No refunds will be issued due to weather-related attendance or sales concerns.

17. SOCIAL MEDIA & PROMOTION

  • Vendors may be asked to assist with event promotion by sharing official event graphics or announcements on social media platforms.
  • Event organizers reserve the right to use vendor names, logos, and photos for promotional purposes related to the event.

18. AGREEMENT

By submitting payment and participating in the event, vendors acknowledge they have read, understood, and agreed to these Terms & Conditions.
